This highly successful luxury residential interior design firm is looking for an uber organised Administrator as their Logistics Coordinator.
This really is a fantastic and varied position working across all projects throughout the studio organising all the logistics and installations of the furnishings for each project. Working with the project Leaders you will create a programme for delivery for numerous projects both in the UK and abroad. They’re a busy team so it’s a full on role ensuring projects run as smooth as possible and everything arrives when it should, as it should. Many problems arise along the way so you’ll need to be a natural problem solver, trouble shooting where needed, always keeping calm under pressure. As well as that you are an extra pair of hands for the FF&E and wider support team, assisting where needed.
Key duties:
Logistics
- Project programming – liaise with project leaders regarding realistic programming for shipping / installation
- Organising logistics of all components to suppliers / warehouse
- Approving transport invoices for payment
- Monitoring transport costs per project to keep expenses reasonable
- Monitoring warehouse capacity and charges of storage used
- Organising and coordinating item sign-off at the warehouse
- Booking and monitoring packing/crating, preparing shipping documents (crating lists and shipping invoices)
- Liaising with client’s rep with regard to shipments
- Monitoring and recording receipt of proof of export
- Preparing insurance claims for items damaged in transit & storage
- Responsible for managing all project storage needs
- Assist in recording movements of stock and updating stock information
- Controlling / checking storage invoice costs and allocations to projects
Administration
- Assist the admin team when cover is needed, e.g. answering mainline telephones in their absence, receiving deliveries, etc
- Provide administrative support to the F&F and architectural teams as necessary
