Legal Secretary

3 month FTC in the property department

The Legal Secretary is expected to use a high degree of initiative and be able to think on their feet to take ownership and solve problems, utilising support service departments where necessary. They should be calm, able to prioritise, and to manage both themselves and solicitors/Partners. The Legal Secretary will be a team player with a flexible approach to work, particularly as occasional overtime will be required. A professional telephone manner and client-oriented approach is expected.

  • Organisation and preparation of correspondence through audio typing/copy typing and/or use of voice recognition systems
  • Creating, amending and engrossing a variety of large transactional documents (tracking changes)
  • Preparation of mail and enclosures for dispatch
  • Preparation of bills
  • Attending clients both in person and on the telephone and providing such support in a professional and friendly manner in keeping with the Firm’s standards for client care
  • Diary management for all department’s solicitors - booking and arranging meetings
  • File / deed management - to include opening, closing and retrieval of files, filing including e-filing and document scheduling, storage and retrieval
  • Arranging for all copying to be done, in person if no one is available to undertake the task
  • Ensuring the confidentiality of the Firm’s and client’s documentation and information
  • Keeping others informed of availability/ absences generally in the department
  • Setting up teleconferencing system if required
  • Undertaking any specific training when required to do so and overall to have a responsibility towards self-development
  • Covering reception lunch cover once a week as part of a roster

Essential

  • Must have: Familiarity with Land Registry e-portal and Searchflow - the incumbent may be required to act as Administrator for these sites
  • Understanding of conveyancing processes
  • Experience of both commercial and residential property
  • Previous private practice law firm experience
  • Intermediate MS Office skills
  • Knowledge of practice / document management systems
  • Experience in opening / closing matters and e-filing

Desirable

  • Experience using digital dictation systems
  • CILEX qualification or working towards
