Float Assistant - £35,000 - £45,000 - Victoria

A well respected independent investment management firm are currently seeking a positive and flexible Float Assistant to join their Secretarial Team based in the heart of Victoria. This role will form part of the assistant support who is highly relied upon. You will float across the business building and maintaining working relationships and helping the business where possible. You will assist on sickness and holiday covers and not limited to assisting teams with heavy additional workloads and projects.

Responsibilities:

  • Comprehensive and proactive diary management to MD's and wider teams
  • Liaising with external clients and administrative teams for all meeting logistics
  • Coordinating roadshow activity
  • Proactively setting up prep-meetings ahead of the client meeting
  • Creating and editing presentations using PowerPoint
  • Generating quarterly portfolio reports
  • Ensuring meeting rooms are booked globally where necessary
  • Understanding and utilising virtual conferencing tool to create video and audio conference requests
  • Liaising with reception to request any catering
  • Registering external visitors with reception
  • Proactively managing meetings and being a gatekeeper
  • Managing global travel and expenses
  • Providing enterprise reports when requested
  • Managing and completing print requests following in-house compliance approval process
  • Entering, amending and keeping client data up to date
  • Management and processing of team invoices
  • Diligent coverage of telephone lines, adhering to best practices

Skills:

  • Diligent and high attention to detail
  • Advanced proficiency in MS Office (Word, Outlook, Excel and PowerPoint)
  • Excellent organisational, multi-tasking and prioritisation abilities
  • Ability to work under deadlines and to accommodate last minute changes.
