Take on this newly formed role due to the firm’s expansion. Our client is seeking a Legal/PA who are immediately available and will consider this role on a one month trial basis to permanent. The Legal PA/ Office Manager will become an integral team member of this fast-growing law firm, supporting an entrepreneurial Managing Partner, a small team of Associates, and work alongside two Paralegals supporting the fee earners. The role covers all aspects of office administration for the day to day running of the office but also to work closely supporting the Managing Partner with inbox management, diary management, helping him with networking events and promoting the form to win new business. The ideal candidate will have gained relevant experience in a law firm and be able to demonstrate the ability to multitask efficiently, communicate articulately and deliver a first-class support service. You will need to be self-motivated, focused and proactive with excellent team playing skills and with a hunger to help the firm grow and double in the next five years. As a Legal PA/ Office Manager, your duties will encompass:

•            Providing secretarial support to a team of 8 Solicitors (including filing, post, scanning, formatting                   and uploading documents)

•            Acting as the firm’s Ambassador by answering the telephone, dealing with clients and taking                         accurate messages as well as meeting and greeting clients

•            Opening and maintaining client files

•            Email and diary management for the Solicitors, booking meeting rooms, booking hearing dates                     and preparing Court documents

•            Organising firm and external client events both internally and at offsite venues

•            Preparing bills, time narratives and covering emails to clients

•            Reconciling bills paid and chasing outstanding debtors

•            Booking training courses and events (CPD or otherwise for the Solicitors

•            Typing, proof-reading and editing of legal correspondence and documents

•            Office managerial duties such as, dealing with any maintenance issues, ordering stationery and office supplies, assisting with Compliance and liaising with third parties including Counsel, Clerks, Consultants

 

Key Competencies:

You will need to be able to demonstrate strong communication skills and a willingness to learn and integrate effectively with the wider team, with previous administrative experience gained in the legal arena and be able to work in a timely manner. You will also have:

•            Minimum 5 GCSE’s Grade C or Above or equivalent

•            Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)

•            An understanding of working in a professional, service-driven environment

•            A ‘can do’ and proactive attitude

•            A strong team player and hungry to learn
