A wonderful opportunity for an Executive Assistant to support a Chairman for a property consultant based in Chelsea for a 12 month fixed term contract

Main Duties:

  • First point of contact for the D&GM and VIPs from HK, dealing with correspondence and phone calls.
  • Managing diaries and organising meetings and appointments, often controlling access to the manager/executive.
  • Booking and arranging travel, transport and accommodation.
  • Organising events and conferences.
  • Reminding the D&GM of important tasks and deadlines.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Managing databases and filing systems.
  • Liaising with internal and external stakeholders - staff, suppliers and clients.
  • Organising the booking schedule for the Company Car Driver in relation to the D&GM, senior management and projects.
  • Collating and filing expenses for the D&GM.
  • Work closely with the Human Resources Manager to ensure confidentiality at all times and assist with the smooth running of the office ensuring that all other secretaries support HR. 
  • Supervise all other secretaries in the office to ensure the switchboard, setting up of meeting rooms, post, provision of stationery, stocks of paper in the business centres etc. are covered at all times.
  • Completion of corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) and/or conducting research.
  • Miscellaneous tasks to support the D&GM and VIPs from HK, which will vary depending on who is visiting at any one point in time and what projects are in the pipeline.

 Desirable 

  • Previous experience of working for a HK company or other international culture/experience
