A leading project management consultancy based in Central London is looking for a Junior Secretary. The Junior Secretary will assist two PA’s in their role of supporting a Senior Partner within the firm and his team of 60 Project Managers.
This is a fabulous career opportunity for a bright and ambitious secretary looking to progress their career and ultimately take on their own team and take more responsibilities.
Key secretarial duties:
- Typing of minutes etc. for team and supporting on final formatting of documents.
- Proactively manage and maintain diaries, making appointments and co-ordinating internal and external client meetings and ensuring all work activities are scheduled effectively, including the identification and resolution of potential challenges and clashes.
- Arrange overseas and regional travel and hotel arrangements via online agent and where required direct with the hotel or airline.
- Arrange the booking of meeting rooms, video/conference facilities, refreshments, restaurants, taxis etc. and liaise with internal and external meeting attendees
- Assist with producing submissions and presentations using Adobe InDesign and PowerPoint
- On-boarding new staff and sub-consultants.
- Organising events such as team meetings, socials, hospitality, business updates and Christmas party
- Preparing and sending invoice packs
- Arranging appointments and electronic diary management
- Preparation of response to tender enquiries (Word based)
- Archiving and support on electronic filing
- Technical admin for projects
- Working with senior support staff as required
Skills and Experience:
- At least 6-12 months’ work experience within a corporate environment
- Advanced in Microsoft Office, particularly Word and Excel
- Excellent attention to detail
- Excellent interpersonal skills
- Friendly, polite and helpful manner
- Team player with a flexible “can do” attitude
