A dynamic, fast-paced and growing executive resourcing firm is looking for a Resource and Support Executive to join the team on a temporary to permanent basis. The successful candidate will be providing coordination and administrative assistance to the team in the delivery of services and helping them to achieve business objectives. You will be able to handle difficult situations, have excellent telephone and administration skills and a can-do attitude.

Responsibilities:

  • Ensuring that fee-earners are supported in their business development and project deadlines including planning and targeting using LinkedIn, database and information from other relevant sources
  • Assisting with arranging both external and internal meetings, demonstrating exceptional standards of customer care, contributing to repeat business and helping to convert contacts into future clients
  • Ensuring that contact with new customers happens without delay and fully managing their expectations on processes
  • Co-ordinating and managing the team's customer pool ensuring all contract details including Non-Disclosure Agreements are in place and that regular communication and performance monitoring is maintained with customers working on assignments
  • Co-ordinating meetings, requiring a high level of internal and external contact and communication with people of all levels and from all types of organisations and culture
  • Demonstrating exceptional standards of customer care, enhancing the brand and contributing to repeat business
  • Ensuring all project and programme information is recorded and kept fully up to date on the in-house database and that line managers are fully briefed on specific, relevant information in a timely fashion
  • Managing diaries and organising travel and accommodation in advance and to the most cost-effective route
  • Providing support and guidance in training new users on the systems, processes and procedures
  • Ensuring that records are kept in line with and adhere to current legalisation and that Data Protection requirements, the company processes and professional standards are properly maintained
  • Reviewing and carrying out improvement and development activities to ensure that less manual intervention is required and the customers both internal and external receive an enhanced service

Essential Skills and Experience:

  • Minimum of 2 years' experience in a support role with a winning business environment, preferably within a global executive recruitment or professional services environment
  • Strong ability, passion and total commitment to ensuring efficient, effective systems, process and procedure management
  • Demonstrable evidence of accuracy, organisational efficiency and outstanding attention to detail
  • Computer-literate including proven capability in Word, Excel, PowerPoint, email, calendar and scheduling software
  • Strong verbal and written communication skills and competent in preparing well-constructed and well-presented written documentation, together with the confidence to justify and underpin recommendations
  • Language skills an advantage
  • Excellent telephone and administration skills with the ability to handle multiple requests effectively and to deadlines with the ability to communicate to the highest standards
  • Strong customer service standards including the ability to enhance the brand through persuasive and helpful communication with customers
  • Have a 'can do' approach and proven problem-solving skills
  • Ability to handle difficult situations and to manage a demanding and diverse workload
