Our client is a leader in its industry with a fantastic reputation and presence worldwide, as well as a busy and buzzing office environment. As PA, you will be providing efficient, proactive and full administrative support to the Head of Department, one director and one negotiator.

Key responsibilities;

  • Providing full administrative support to their Directors and team
  • Typing up emails, reports and updating in-house database for Directors where necessary
  • Raising fee invoices and fee share allocation using in-house database
  • Producing and updating schedules, spreadsheets, reports, presentations, pitches and correspondence
  • Ensuring that files adhere to compliance regulations
  • Dealing directly with clients over the telephone and taking messages
  • Booking, organising and creating adverts for national advertising
  • Exercising confidentiality and discretion at all times
  • Setting up and maintaining filing and archiving systems for the department
  • Filing online and offline, binding reports, printing and mail outs
  • Writing agendas and writing minutes for weekly and monthly meetings (on a rota with other PAs in the dept)
  • Diary management, including internal and external meetings, travel bookings when required

  • Ability to work under pressure
  • Experience in busy office with evidence of good prioritisation
  • Capability to build and establish rapport with both clients and colleagues
  • Self-motivated individual displaying; reliability, flexibility and initiative
  • Ideally 3-5 years’ experience in a similar PA role
