This is an amazing opportunity for an experienced Team Assistant to join one of London’s coolest and rapidly growing investment and venture capital companies. Based in brand new modern offices in the City, you will join a fun and welcoming team of three Assistants that work to support one of the busiest and quickest growing teams, and strive to ensure that everything runs smoothly at all times. This role will suit a career-minded, high performing team assistant with strong organisational skills, as well as established interpersonal skills and the ability to liaise at all levels. This role will offer variety in a fast-paced environment, which means it requires flexibility and exceptional attention to detail.
Office hours are usually 9am to 5pm Monday to Friday, however there will be an expectation to be contactable out of office hours for urgent matters.
Although this is a fixed-term contract until December 2019, there may be the opportunity for this role to become a permanent post, although at this stage that is not guaranteed.
KEY RESPONSIBILITIES:
- Full PA support to selected members of the team, including diary management of very busy and fluid diaries.
- Arranging an array of visa applications, flights and itineraries for travel particularly in Europe, the US and Asia.
- Booking meeting rooms and catering as required.
- Being a point of contact for visitors for the team; meeting and greeting.
- Taking telephone calls and passing on messages in a timely and accurate manner.
- Following up with team members to ensure assigned tasks have been completed.
- Processing invoices and expenses for the team, ensuring adherence with relevant policies and procedures.
- Managing relationships with the whole team effectively and working proactively to ensure everyone is sufficiently supported at all times, particularly during busy periods.
- Assisting the Communications & Marketing team in the organisation of events (both external and external).
- Liaising with IT support to report any problems with technology.
- Data/Contact Management.
- Distribution of mail to the team.
- Ordering of Stationery.
- Ad-hoc tasks for the team.
- Providing holiday and sickness cover for PAs across the company.
SKILLS AND EXPERIENCE REQUIRED:
- Proven experience in a Team Assistant/support role, working in a dynamic and entrepreneurial environment.
- Very strong interpersonal and communication skills, high level of professionalism and an ability to interact with people of all levels both internally and externally.
- Proactive approach, self-motivated with an ability to allocate tasks to self without prompting.
- Career oriented and with a good degree of drive and interest in the business and a desire to make a contribution and add value.
- Ability to prioritise under pressure; managing multiple tasks with conflicting deadlines.
- Strong attention to detail, must be very accurate and also numerate.
- A team player, customer focused, with good telephone manner.
- Positive reactor to change and the associated challenges.
- Good knowledge of Microsoft tools, particularly Outlook.
- Excellent checkable references.
