A global construction company is looking for a Personal Assistant to join their team on a permanent basis. You will be reporting directly to the Finance Director and Head of Finance. This opportunity is in a faced paced working environment and the successful candidate will be proactive with excellent organisational skills.

Responsibilities:

  • Managing diaries and meeting schedules for the Commercial Finance Director and Head of Finance including booking meeting rooms and liaising with reception for catering as required
  • Acting as the first point of contact including screening phone calls and taking detailed messages, greeting visitors and liaising with contacts on their behalf
  • Liaising with the clients and subcontractors
  • Maintaining accurate records including promptly arranging signatures on time sensitive documents and returning or on-forwarding to correct department for action
  • Organising the production of various reports, particularly those forming part of the monthly review process
  • Interfacing with the various site teams, setting up meetings, being cognisant of competing demands and priorities between projects
  • Taking minutes and producing action list points from meetings when required including board meetings
  • Sorting assigned post and dealing with routine enquiries and confidential correspondence
  • Producing and amending presentations using PowerPoint software
  • Maintaining team distribution lists in Outlook to include new starters and other changes within the team
  • Organising international and domestic travel
  • Processing corporate card and cash expenses
  • Providing support to other Personal Assistant's and administration staff and any other ad hoc duties when required

Essential Skills and Experience:

  • A minimum of three year's experience in a Personal Assistant position
  • A minimum of two year's experience within the Construction industry
  • Prior experience supporting C-level individuals
  • Excellent communication and interpersonal skills
  • Strong attention to detail
