Owen Reed are recruiting for a Secretarial Services Manager to join a top London law firm.
The Secretarial Services Manager will be responsible for delivering a first class secretarial service to the firm including to our clients, managing and developing the legal secretarial function and ensuring we have the right roles and structure in place to meet the needs of the firm today and looking forward.
The Secretarial Services Manager will report to a senior member of the HR team.
Key responsibilities of the Secretarial Services Manager
• Design, develop and implement the secretarial and administrative objectives for the firm
• Engage and drive a high performing culture across the secretarial function
• Work with L&D colleagues to review secretarial development and training
• Responsible for the completion of the annual performance reviews alongside the partners
• Developing a succession and progression plan for the secretarial function
• Developing an agile and responsive secretarial function ensuring teams are resourced effectively to deliver exceptional client service
• Management of the Legal Secretaries who also have a dotted reporting line into their Partner
• Development and engagement of the Group Secretaries
• Recruitment of any approved headcount
• Chair Group Secretary meetings
• Responsible for the Secretarial budget proposal
• Monitoring and authorising overtime and expenses
• Lead moderation meetings with Group secretarial partners to review performance ratings
• Develop and sustain collaborative business relationships with key stakeholders to become a trusted adviser
• Provide strategic management information to Partners or the HR team, when required
• Share best practice with the secretarial function and work towards a consistent approach, wherever possible
• Adapt and evolve the secretarial function in response to market, client and firm requirements
• Review processes and drive a culture of continuous improvement
• Work closely with the wider Business Services teams to ensure the Secretarial function is aware of developments that may have an impact eg new technology rollouts
• Any other duties that fall within the parameters of this role
• Work on ad-hoc projects within the Secretarial Services remit
