We are looking for a personable, super organised and proactive individual who can step into a varied PA role at a private family run estate in East Sussex which focuses on conservation and wildlife. You will be working as a key member of the busy estate team and providing PA support to the Estate Manager while also running the office and various estate projects. They are a very friendly and team orientated bunch, so they really want someone who is not precious and happy to pitch in at all levels and work as part of the team. The family, who are HNWIs are also very involved and you will be liaising with them from time to time. There is definite scope for this role to evolve for the right candidate, especially on the conservation side of things. Duties will include be not be limited to:

  • Dairy Management of that Estate Manager 
  • Act as initial point of contact for the Estate Team – answering phone calls, taking and passing on messages, following through enquiries, responding to general email requests, taking deliveries and dealing with correspondence (letters, packages, etc)
  • Support the Estate Manager in organising and managing the Estate Rentals
  • Help the Estate Manager and Project Manager create a record of repairs/ ongoing work /program for refurbishment on the estate
  • Coordinate office activities and operations to ensure efficiency, in line with company policies – streamlining procedures where necessary
  • Act as a point of contact for all matters linked to the office: IT, vehicles, operational systems
  • Make preparations for, and minute, meetings for the Team, Organisation and Steering Committee
  • Manage agendas/travel arrangements/appointments etc. for the upper management
  • Assist with design and production of marketing materials
  • Help plan & coordinate events relating to the estate’s environmental work (open days, exhibitions, courses, training etc)
  • Update records and databases
  • Collate photos and research information for regular reports, presentations & proposals where necessary
  • Support budgeting and bookkeeping procedures
  • Order and maintain office supplies and refreshments  including tea, coffee etc.

 It is important that candidates be able to drive and own a car, as there are no regular transport links onto the Estate. They are ideally looking for someone with at least 2 years + previous PA/admin experience, strong communication skills, and the initiative to hit the ground running.  Ideal hours would be 8.30am to 5pm but there is flexibility on this for the right person.  Salary depends on experience but they are looking around £24k but may go higher for the right person.
