A prestigious International Law Firm is looking to hire a new Executive Assistant to support the Chief Marketing Officer and the Senior BD Management team on a permanent basis to assist in organisational aspects of international practice and sector and Partners’ retreats. Responsibilities will include the day-to-day online diary management for the CMO and the Head of Marketing Communications, Head of Practice & Sector Business Development and the Head of Client Service & Insight, arranging travel schedules and hotel accommodation for the CMO and other team members when required including assisting with arrangements for MBD team members visiting from other offices as required, setting up internal and external meetings, lunches and conference calls, assisting with meeting preparation, preparing PowerPoint presentations on occasion, ensuring the key contact and organisation chart presentations, being responsible for coding and processing of departmental invoices and monthly marketing credit card statements., assisting MBD team members with setting up and sending electronic marketing mailings, using the CRM system, reviewing, actioning and forwarding relevant emails from generic email accounts, administering MBD new joiners and assisting with the organisation of the annual internal MBD Skills Training event, including managing the invitation and RSVP process, room bookings, catering, logistics, liaising with AV and preparing information booklets/flyers as well as arrangements for the offsite dinner. International Events Coordinating duties include managing the invitation and RSVP process for biannual practice and sector group retreats, assisting with retreat logistics and other organisational aspects, such as hotel transfers and accommodation lists, including acting as a point of contact for queries and change, providing on-site event assistance at the larger practice and sector retreats and the annual Partners’ Retreat, working with the firm’s Senior Manager for International Events and tracking and reporting on attendance statistics and collecting and collating feedback post-event. Candidates must have previous PA/EA experience within a law firm, strong organisational and communication skills and the willingness to travel throughout the year.
