Administration Assistant / Admin Assistant
Graduated from University, School or College with some work experience under your belt and now looking to forge a long term career as a Secretary? If so, we have the perfect opportunity for you! An International Asset Management firm requires a switched on Administration Assistant to support the Office Manager and other Senior Partners across the office. The Admin Assistant role will play a key part in providing support for the firm and for the right person, the role could open up some amazing opportunities further down the line.
Administration Assistant / Admin Assistant:
The successful candidate will provide clerical support and assist staff across the firm. You will be responsible for a wide variety of tasks. The successful candidate will interact regularly with the Office Manager, Senior Partner and exclusive clients so great interpersonal skills are a must!
Administration Assistant / Admin Assistant:
Responsibilities will include the following tasks:
- Generate emails, minutes and reports
- Schedule meetings and managing diaries
- Answer incoming calls and assume other receptionist duties when needed such as meeting and greeting visitors, preparing refreshments and ensuring meeting rooms are tidy
- Print, photocopy, scan and bind documents
- Maintain office supplies by checking inventory and order items
- Create and update records ensuring accuracy and validity of information
- Resolve office-related malfunctions and respond to requests or issues
- Maintain trusting relationships with suppliers, customers and colleagues
- Make travel arrangements
- Event planning/implementation
- Act as the point of contact between the associates and external clients
- Maintain office and storage system
Administration Assistant / Admin Assistant:
- Required skills and experience:
- 6 months + administration experience
- Excellent communication skills and telephone manner, with the ability to work confidently and collaboratively across functions
- A calm, with keen attention to detail; a multi-tasker who enjoys a fast-paced working environment
- Excellent customer service skills with a positive can-do attitude
- Self-motivated, disciplined individual with excellent problem-solving skills
- Strong organisational skills with experience of managing end to end tasks that require multiple touchpoints
- Strong technical skills with knowledge of Word, PowerPoint and Excel packages
You must be able to work well under pressure, prioritise, multi-task and be able to deal with clients in a professional and polite manner.
