The Role:
This role is to provide full legal admin and PA support to the Company Secretary & General Counsel and their small team of lawyers. It will involve working with senior management globally and with external law firms.
The Responsibilities:
General:
Carrying out general day-to-day office administration, invoice and expense management for the Group legal team.
Coordinating internal/external meetings and diary management for the General Counsel.
Assisting others' PAs with telephone/secretarial support cover in their absence and during Board meetings.
Liaison with external consultants and external advisers/suppliers.
Organising travel in line with Group's travel and expense policy.
Assisting the Company Secretarial and Legal Assistant with board, committee and AGM logistics (including directors' travel) and the tracking of non-executive directors' expenses
In -house administrative contact for external law firms and advisors.
Uploading, when required, co sec and other legal documents onto company databases.
Overseeing Group Legal's budget and liaising with the finance team to ensure that invoices are correctly accounted for within the budget;
Managing admin for in house trade mark portfolio and liaising with external trademark lawyers, re registration of TMs;
Experience using Board Intelligence (or board portal) software.
Legal:
Co-ordination and administration relating to specific project work and processes.
Preparing documents for execution and tracking and collating global agreements.
Supporting the co-ordination and administration of company's compliance procedures, including anti-bribery and corruption and internal authorisation processes.
Arranging for legalisation and/or execution of documents.
The Skills:
Essential:
Previous experience working in a legal/co sec environment. City law firm experience is helpful but not essential
Minimum 3 years' experience working in PA/Admin position or similar
Excellent IT skills are essential. Candidates must be able to prove their ability to work at advanced level particularly on PowerPoint, Word and Excel
Fast and accurate typing skills
Excellent planning, administrative and organisation skills.
Confident, good interpersonal skills and able to communicate effectively at top/senior management level.
Enthusiastic and motivated with a "can do" attitude who is adept at identifying the "art of the possible" and what needs to be done.
Ability to work well under pressure, calm, flexible, adaptable and to priorities workloads.
Excellent written & verbal communication skills.
Accuracy, passion for detail, wanting to get things right.
Able to integrate across all levels of the organisation- locally, regionally and globally.
Flexible, adaptable in approach and proven ability to work well in a demanding, fast moving and changing environment.
Self-starter / takes initiative/pragmatic.
Able to exercise discretion and confidentiality.
Cheerful disposition is important.
Desirable:
Previous experience working in a large company or plc.
Law Degree desirable. Minimum educational requirement up to 'A' level or equivalent.
