Our client, a renowned Arts organisation, requires a Personal Assistant to provide admin support to two Heads. This is an ongoing temporary role lasting for at least 2-3 months and is paying £13 P/H plus holiday pay.

Main duties of the Personal Assistant duties are:

  • Acting as key point of contact
  • Prepare and arrange both internal and external meetings
  • Provide a flexible and responsive administrative support to the Head of the department
  • Maintain office systems
  • Process and administer all financial actively including all elements of income processing, expenditure processing and updating the financial records spreadsheet
  • Collate and submit internal updates
  • Update rolling key moments, capturing key partnership moments and circulating this on a weekly basis
  • Undertake a range of administrative support tasks including photocopying, taking messages, filing, email and telephone correspondence
  • Other duties include, working closely with the Corporate Partnerships Officers to deliver corporate partner benefits such as the distribution of exhibition catalogues and tickets as well as updating nomination and mailing databases
  • Gather and collate information, including photography, press cuttings, marketing collateral, statistics for attendance and online platforms form other departments
  • Produce evaluation reports and write regular updates

The successful candidate must have demonstrable experience within a busy office, in a range of secretarial and administrative duties. You need to have strong verbal and written communication skills, great organisational skills with proven ability to plan and prioritise a varied workload and work positively under pressure to meet deadlines. You need to have excellent attention to detail, good interpersonal skills with the ability to communicate confidently and effectively with a range of people. You need to have good team working skills and have strong knowledge of all Microsoft packages.
