An innovative environmental consultancy based in the City is looking for a Team Assistant / Project Administrator to join their portfolio team on a 6 month contract. Immediate start
Key team administration duties:
- Monitoring the portfolio session inbox and co-ordinating internally and keeping track of progress of responses
- Support the project management and co-ordination of portfolio sessions
- Setting up internal meetings, preparing meeting paperwork and taking notes, collating content for portfolio sessions, and keeping track of running orders and other key logistics
- Support internal communications by helping to share content on internal bulletin board
- Managing procurement paperwork for the portfolio core team
- Providing administrative and event support at portfolio sessions
- Provide occasional events support, sourcing venues/booking rooms, and managing procurement and administration
- Support EA on CSO diary management, arranging meetings with colleagues and high-level external stakeholders
- Book CSO’s travel and accommodation, dealing with complex travel requirements across different time-zones and creating clear travel logistics briefings
The assignment will require a mix of core capabilities as follows:
- Administration experience (experience of coordinating multiple workstreams, monitoring actions, milestones etc, supporting on reporting, setting up management processes and learning capture)
- Proactive working style, with an ability to prioritise workload
- Basic interest in the portfolio approach and composition
- Ability to coordinate and work with a diverse range of internal stakeholders
- Confidence when dealing with senior level internal and external stakeholders
- Flexibility and the ability to coordinate tasks across multiple streams of work
- An understanding of event management
- Enthusiastic and proactive working style
- Comfortable working in change and with evolving briefs.
Experience
- At least 3-5 years of relevant experience in administration and/ or project support roles
