A boutique office-based support recruitment agency is looking for a Team Administrator to join their team on a permanent basis. The successful candidate will be providing administrative support to the consultants and will be reporting directly to the Business Operations Director and the Associate Director. You will be resilient, proactive and comfortable working in a fast-paced environment.

 

Responsibilities:

 

  • Providing reception duties including answering incoming calls
  • Greeting candidates and escorting them to the interview rooms and providing registration forms to complete
  • Preparing tea and coffee for candidates
  • Scanning passports and visas
  • Setting up candidates on the in-house Microsoft Office testing system and being the first point of contact for testing issues
  • Formatting and proof-reading CVs to the company standards
  • Entering candidate registration forms into the database system
  • Emailing to request candidate references and loading into the CRM system and Microdec Profile
  • Advertising roles using the Broadbean multi-posting platform
  • Providing employment reference letters for candidates
  • Assisting the Candidate Management team with initial screening of CVs
  • Scanning and saving meeting notes to the database
  • General housekeeping duties such as tidying the kitchen and office space, clearing printers and ensuring paper and forms are fully stocked
  • Maintaining the filing system and archiving
  • Taking mail to the post box
  • Assisting with event preparation and set up
  • Covering reception at various client sites when necessary

 

Essential Skills and Experience:

 

  • A minimum of one-year Receptionist experience is required
  • Excellent verbal communication and interpersonal skills
  • Working knowledge of Microsoft Office products
  • Highly organised with excellent attention to detail
