My client is an award-winning international think-tank that aims to conduct cutting-edge independent research on European security policy and to provide a safe meeting space for decision-makers, activists and influencers to share ideas.
Purpose:
- Support the Senior Management Team, in particular the Director and the Deputy Director (Operations) in their leadership roles
- Administrative coordination ofLondon Office
Main responsibilities supporting the Director:
- Diary management for the Director, including travel, internal and external meetings
- Efficient oversight on the Director’s email inbox: ensure an appropriate response to internal messages and external invitations and create a process for reviewing them in accordance with individual needs.
- Book travel and accommodation for the Director
- Update the firm’s global database with the Director’s contacts
- Liaise with the communications team regarding media enquiries for the Director Liaise with the development team regarding the Director’s fundraising activities Assist the Director in delivering effective internal communications within the business.
Main responsibilities supporting the Deputy Director (Operations):
- Support the Deputy Director to deliver the efficient coordination and delivery of all activities – as foreseen in the annual calendar. Organise agenda, weekly planning, logistics, documents preparation, minute taking and follow-up on action points.
- Book travel and accommodation for senior members according to the firms travel policy.
- Assist the Deputy Director in delivering effective internal communications within the firm
London Office administrative support:
- Office management, support & administration
- Support to London office events and general activities
Person Specification
- Substantial experience working in a senior personal assistant role, within a busy and demanding environment
- Excellent interpersonal skills working with people at a senior level
- Demonstrable effective communication skills able to manage all forms of correspondents both written and verbal; excellent written and oral English language skills; other European languages an advantage
- Highly developed organisational and administrative skills; ability to multi-task Have a flexible, positive and can-do approach to problem-solving
- Ability to prioritise workload and work without extensive supervision. Shorthand or speedwriting skills, plus speed typing min 60 wpm
Advanced level MS Office in particular Word, Outlook and Exce
