Our client a world-renowned arts organisation based in Central London requires a Personal Assistant to provide effective and efficient personal assistance to a Director. This is a permanent role, but the role might suit someone on a temp to perm basis. This role is paying £25,500 - £27,000 p/a and is to start ASAP.

The main duties of the Personal Assistant are:

  • Diary Management / fielding calls
  • Drafting divisional briefings, preparing presentations and arranging briefing notes in advance of meetings
  • Booking meetings and ensuring agendas and papers are collated in advance and taking minutes of meetings as required
  • Act as first point of contact
  • Provide administration support to the team
  • Undertake general administration and record keeping on behalf of the Director including managing memberships and subscriptions; fielding internal and external enquiries and maintaining paper and electronic filing systems
  • Liaise with external contacts and visitors on behalf of the Director; arranging complimentary catalogues and exhibition tickets where appropriate
  • Booking travel, hotels, taxis and dealing with conference registrations and provide full itineraries
  • Processing expenses
  • Acting as a point of contact in the absence of the Director, drafting and formatting all correspondence and ensuring all paperwork is completed where appropriate including email management and filing

The successful candidate must have proven experience of working in a senior level executive support/PA role within a busy office. You need to have strong verbal and written communication skills with the ability to communicate confidently and effectively with a range of people. You need to have strong organisational skills with proven ability to plan and prioritise a varied workload and work positively under pressure to meet deadlines. You need to have strong attention to detail, ability to thrive in a fast paced, dynamic and complex multi-site organisation and be proficient in a broad range of IT applications including Microsoft Office, databases and internet application.
