ROLE SPECIFICATIONS:

The role will be varied and will cover:

Records, forms and filing system management
Purchasing and procurement of office supplies, IT equipment and furnishings, groceries, supplies for the kitchen and stationery
Responsibility for mail – incoming and outgoing
Assisting the Finance team in invoice processing and bank reconciliations
Assisting Human Resources function with new employee on-boarding, employee benefits and recruiting processes
Assisting staff in any ad-hoc administration tasks as directed
Responsibility for Health and Safety including Chief Fire Warden & First Aid Officer duties;
Responsibility for managing the cleaning and any other office services arrangements;
Responsibility for ensuring office environment is clean & orderly and access points are secured;
Co-ordination of meetings and visitor arrangements;
Responsibility for the day-to-day running of the office, including receptionist and telephonist duties, and contact with building maintenance.
Temperature monitoring and adjusting where necessary in the office
Co-ordinating and organising company meetings, both internally and externally
Organising accommodation and travel requirements for employees
Representing the company at building facilities management meetings
Organisation of catering and company events
PA duties for Directors and Senior Leads where required

CANDIDATE SPECIFICATIONS:

Essential Experience

At least two years’ experience in an office manager / PA or administrative role;
Excellent telephone skills;
Excellent customer service / interpersonal skills
Experience of managing a room booking platform – outlook or other
A task oriented and a methodical and thorough approach to work
Strong organisational skills & attention to detail
The ability to prioritise tasks effectively
An assertive nature and ability to show initiative
Intermediate competency with Microsoft Word, Excel, Powerpoint, Outlook and Gmail

Hours 8-5 (with flexibility)
