PA / Office Manager / Marketing Manager  

Chartered Surveyors -  Regent Street, London, W1

£26,000 - £30,000 pa depending on experience

The successful candidate would be required to provide secretarial, administrative, IT and marketing support to the professional and agency teams in a friendly professional office. The role requires strong organisational and communication skills, and the candidate must be a good team player with excellent attention to detail. The candidate will need a good typing speed and be familiar with word, excel and outlook as well as the ability to manage the company’s website and social media.

The ideal candidate will be capable of working in a busy environment and having to work with a team who spend some of their time out of the office. They should also be able to provide a high level of service to, and establish rapport with clients, and colleagues for the benefit of the team and office environment.

Grant Mills Wood is a well-established firm of Chartered Surveyors and Property Consultants, based on Regent Street. Seeking a PA / Office Manager / Marketing Manager to work with their senior Directors as part of a friendly and motivated team to include general administrative support across the office.

Core Responsibilities:

  • Completing and registering new jobs on appropriate systems, creation of conflict check reports and creation of appropriate files.
  • Assisting with website updates, social media and database updates including marketing.
  • Managing a web based agency database and updating the property search.
  • Maintaining a database for Arbitration and Expert referrals and working closely with the senior Directors.
  • Audio typing, formatting of correspondence and reports/proofs of evidence/binding.
  • Creating regular invoicing and debtors through Xero software (training can be provided).
  • Diary Management (Outlook) / Coordinating meetings & booking meeting rooms / conference calls.
  • Accurate message taking for the team and managing/filtering telephone calls.
  • File management, archiving and ad-hoc duties.
  • Creating and updating various lists, spreadsheets, schedules and presentations.
  • Act as a focal point of contact, ensuring efficient liaison between team, manager and clients/ colleagues/ personal contacts.
  • Prioritising workload and generally assisting a busy team.
  • Undertake voluntary or nominated duties in order to ensure the smooth flow of work through the team.

Core Skills:

  • Excellent communication and inter-personal skills (professional but friendly).
  • Proactive self-starter with a willingness to learn and develop new skills.
  • Able to multi-task and manage conflicting, changing priorities efficiently whilst meeting deadlines.
  • Excellent software skills, in particular, Microsoft Word, Outlook and Excel.
  • Efficient and Pro-active.
  • Ability to manage workload and meet deadlines.
  • Hands-on approach with a professional but friendly manner.
  • A good team player but also able to work on their own initiative
  • Experience within the property or legal sectors is preferable but not essential.
