We are looking for an experienced Team Assistant with Front of House experience to join the team of a Venture Capital firm based in Soho that invests in early stage technology companies across Europe.

We are looking for someone to provide a professional, enthusiastic and courteous front of house service, daily reception activities, some basic office management duties and administrative assistance for Associate Partner team members. 

As well as the Associate Partner team, you will also work closely together with the Company’s senior Executive Assistants.


Location:              Soho, London

Salary:                  £30k-£35k

Start Date:            ASAP

Responsibilities include, but not limited to:

Front of House

  • Provide daily reception service, acting as the first point of contact for all visitors
  • General daily office set-up and clearing-up as required
  • Meeting room preparation including preparing refreshments
  • Setting-up AV services during meetings
  • Answering and dealing with telephone calls
  • Management of incoming and outgoing post and courier bookings
  • Booking meeting rooms
  • Ensuring the Reception area, meeting rooms and public areas are maintained in a professional and clean manner
  • Ordering team lunches and weekly groceries
  • Ensuring the photocopier is always filled with paper
  • Order supplies for bathrooms and shower room when needed.
  • Order Nespresso coffee online.
  • Liaise with building management and maintenance.
  • Maintain office asset register.
  • Fire ward & first aid duties in both drills and emergencies.
  • Keep a check on the gas bottles for the Virgin water bar.
  • Book Zipjet for any laundry / dirty towels / napkins / tea towels.
  • Oversee confidential waste pick-up by Shred-IT every 4 weeks.
  • Ad- hoc errands (Apple store, Rymans, Post office, Whole Foods etc.)
  • Direct contact between Mosaic and external IT company (Stellarise) for any IT issues.
  • Fire warden & first aid duties in both drills and emergencies.
  • Keep stock of office supplies, medicines.

Team Assistant

  • Assisting with diary management and organising meetings
  • Arranging team travel and accommodation
  • Assisting with events planning
  • Supporting the team with their expenses

Candidates must be / have:

  • At least 2 or more years of proven experience working in a similar role
  • Strong computer literacy (Gmail, Google Docs, Microsoft Office)
  • A solid command of the English language
  • Motivated and super organised, with strong time management and a high degree of initiative.
  • Expert at juggling – you will be handling lots of important things & need to stay on top of these.
  • A problem solver, resourceful and able to think independently.
  • Thrive in a busy, fast-paced environment, work well under pressure and adapt quickly to change.
  • Smart, well presented and self-motivated with strong people skills, able to interact with all members of the team, entrepreneurs and investors.
  • Customer service is your thing – everyone gets looked after & leaves feeling like they can’t wait to come back!
  • You are a team player and have a can-do attitude; you are not afraid to roll-up your sleeves and work hard.
