A leading London Market Insurance firm are looking for a Facilities Specialist to join their dynamic team. You will work in a team of 2 and support the Office and Facilities Coordinator with the London office and Ad hoc to European offices.
Essential Duties and Responsibilities:
Work closely with Office & Facilities Coordinator / Building Management / Landlord to ensure the London office space is maintained and serviced appropriately.
Be first point of contact for any facilities or reception queries.
Report and monitor progress of maintenance issues, ensuring that they are resolved quickly and efficiently.
Supporting Office & Facilities Coordinator with any capital improvement projects, new office build outs or refurbishments.
Collaborate with Procurement to maintain, develop and evaluate new and existing contracts.
Oversee the day to day running of the main facilities suppliers, regularly review office services and changing needs to keep up with staff demands.
Manage and replenish stock of all office stationery supplies, including any “one off” or bespoke requirements.
Develop, implement and enforce departmental policies and procedures, including office
Health & Safety;
Assume role of ‘Business Continuity Manager Alternate’ for the London office;
Assist with onboarding of new starters;
Conducting office tours and providing office information such as floor and seating plans
- Programming new access passes and coordinating readiness of desks once desk assignments have been made
- Updating email distribution lists and phone lists Provide ad-hoc reception cover for holidays/sickness.
Ideally you will have 2/3+ experience, be presentable and have strong communication skills as you will be dealing with all levels of staff. Experience in Facilities is needed.
