Focus of the Role:

The events and visits team deliver an extensive programme of domestic and international engagements for the Executive Chairman and other senior institute staff, as well as providing a full range of executive support. 

As the Institute continues to grow and expand its influence, we are now seeking to recruit a Deputy Head of Events and Visits to play a leading role in this busy team. Deputising for the Head of Events and Visits, and personally leading on the delivery of a large percentage of public and private events, this role will allow the post holder to gain an in-depth understanding of the Institute’s strategic priorities, both in the UK and internationally. The post holder must have experience working with high profile individuals and managing relationships with high level stakeholders.

With proven extensive experience working in a similar role, the post holder should be highly organised, flexible and able to travel for up to two weeks of every month. They must be confident in managing multiple demands on their time when delivering high profile events and preparing complicated, flexible itineraries.

It is an exciting and demanding role with frequent international travel and out of hours/weekend work. The Deputy Head of Events and Visits should have an active interest in domestic and international current events with an excellent ability to judge the requirements of a visit depending on the geographical and political context.

They will work within a team of four, who organise all travel and logistics for the Institute’s Executive Chairman.

Specific duties will include:

  • Building strong relationships with teams from across the Institute, the post holder will gain an in-depth understanding of the Institute’s strategic goals, and in turn should design and deliver engagements (events, visits, bilaterals) that support the ongoing development of our expanding programme of work;
  • Coordinating and implementing all the necessary components of event/visit planning, from the smallest itinerary detail through to large-scale, high-profile engagements;
  • Working alongside security teams, relevant UK government agencies and foreign governments to facilitate all necessary security, protocol and logistical arrangements;
  • Working closely with the Institute’s Communications Team on public events and visits, supporting media and press engagement for the Executive Chairman whilst on international trips;
  • Travelling in advance to event locations - reviewing, advising and approving all logistical details on the ground, including organising ‘recces’ of set-piece events;
  •  Accompanying the Executive Chairman on domestic and international trips, providing exceptional executive support to the highest standard;
  • Creating detailed and thorough schedules, ensuring visits and events are delivered as planned;
  • Commissioning and drafting briefing and event notes, taking minutes and overseeing delivery of actions.

REQUIREMENTS:

  • A proven track record of planning and advancing travel for a high-profile individual;
  • Experience liaising with police and/or security teams in the UK and around the world;
  • An excellent understanding of national and international protocols for senior dignitaries and high-profile individuals;
  • High level of interpersonal skills and an appreciation of the need for discretion;
  • Good understanding of the priorities and work of the Institute;
  • Self-motivated, highly professional and well organised;
  • Able to use judgement in fast moving situations;
  • An ability to cope in a fast-moving environment that can, at times, be extremely pressured;
  • Excellent judgement about the priorities of each visit;
  • An understanding of domestic and international politics;
  • Experience of working in a private sector or government private office is highly desirable.
