What you’ll do:

An dynamic Urban Design company with amazing offices located in the City are looking for a Personal Assistant to join them to  provide executive support to 3 Senior Directors. This position requires a high degree of discretion, confidentiality and responsibility, so it’s important that the PA has some experience supporting at Director level. It’s a great opportunity for a PA who is looking to build on their existing experience and grow within a company, taking on a challenging and varied role.

Duties will include;

  • Extensive diary management for 3 Directors
  • Diary planning of key internal strategy meetings, annual appraisals etc.
  • Arranging meetings, both internally and externally
  • Managing the office wide diary and overseeing the smooth running of internal/external project meetings
  • Organsing global travel bookings, preparing detailed itineraries and business documents
  • Email management, actioning and redirecting as appropriate
  • Working closely with the Marketing and Communications Manager maintaining and updating the database
  • Attend Senior Management Team Meetings, taking minutes to distribute notes and actions to attendees
  • Project admin support
  • Assisting with any IT, mobile phone and laptop issues or requests
  • Coordinate overseas conference calls and video calls across different time zones
  • Managing paperwork, filing and archiving
  • Greeting external visitors and directing them to the relevant director/project team member/meeting room
  • Conducting research as required
  • Processing expenses monthly
  • General office admin support as required

What you’ll need:

The Personal Assistant will be expected to develop a sound knowledge of clients, support the Director and the Sales team ensuring that they stay abreast of conversations and business development opportunities.

Building relationships and representing the organisation is a key part of this role, so it’s very important that the Personal Assistant is able to  build and maintain a cooperative relationship with colleagues of all levels both internally and externally.
  • PA experience in a similar role
  • Ability to demonstrate proficiency in the responsibilities of the role.
  • Experience or keen interest in architecture desired
  • Excellent knowledge of Microsoft Office.
  • Excellent written and verbal communication skills
  • Strong attention to detail ensuring a high degree of accuracy and quality.
  • Proactive attitude with a positive and professional demeanour
