PA to CEO for Renowned Charitable Organisation

£40,000-50,000 per annum plus excellent benefits

Key Responsibilities:

  • Analyse monthly and weekly plans to determine requires logistics, attendees, etc.
  • Produce documents, briefing papers, reports and presentations as required by the CEO and ensure that they are provided at least 3 working days before the relevant meeting.
  • Create a yearly diary for the CEO to ensure that her time is best utilised and time is not wasted.
  • Update the CEO's diary daily and ensure it is efficiently managed to allow for travel and reflection time.
  • Attend to phone calls for the CEO, ensuring that accurate, written messages are sent to the CEO and Exec Team
  • Process incoming correspondence and action as required e. update calendar, distribute to others, etc.
  • Ensure that the CEO's contact list is updated monthly to ensure it is always up to date.
  • Act at the Exec Team's ambassador to internal stakeholders, ensuring that all colleagues are treated with respect and spoken to in a professional manner.
  • Ensure that the CEO's office and other meeting rooms are prepared for meetings with water, papers, etc.
  • Schedule meetings as planned or requested with as much notice as possible.
  • Ensure that an agenda is sent to all attendees, at least 3 working days before the meeting.
  • Ensure that all attendees are reminded, one week before the meeting, of any outstanding action points from the previous meeting.
  • Ensure that attendees are aware of what they need to prepare in terms of contribution.
  • Compile any documentation required and distribute to attendees at least 3 days before the meeting
  • Arrange logistical requirements and ensure smooth running of meetings.
  • Take minutes of meetings and ensure accurate recording of discussion. Distribute minutes within 3 working days of the meeting.
  • Organise monthly staff meetings for the staff to meet with the Exec Team, providing all the logistics and writing up summary notes. Ensure summary notes are distributed to the Exec Team within 3 working days of the meeting.
  • Arrange travel and events according to requirements, ensuring that arrangements are appropriate and well thought through e. including contingency for travel delays, ensuring that basic needs of safety, food, etc.
  • Send invitations for events at least 1 month in advance.
  • Make sure that all hotels, travel, visa and forex arrangements are on track and fit for purpose.
  • Keep up to date with new developments and changes in the organisation.
  • Keep abreast of international, national, regional and local affairs that could impact on The Montessori Group, bringing relevant and appropriate information to the attention of the CEO and Exec Team
  • Provide support to other areas of the Group when required.
  • Maintain open and honest communication
  • Respect and maintain professional boundaries
  • Maintain advanced knowledge of all Microsoft packages, including Outlook, Excel, and PowerPoint.
  • Take time each quarter to research best practice and update skills
