My client based near St. Pauls is looking for an Administrative Assistant to come and join their Corporate team of 30 including around 14 different languages within.

 This company is within the top 25 best accountancy and HR consultancy firm in UK. The team you will be within is the charity team which is one of the largest in the UK also. You will have the opportunity to work in different sectors and become specialists.

Duties and Responsibilities

 Administrative (90%)
  • Scan and allocate post as appropriate.
  • Carry out photocopying.
  • Carry out filing, ensuring accuracy and that the firm’s procedures are followed.
  • Carry out archiving of documents on a regular basis when required.
  • Create new files, hanging space etc., as and when requested.
  • Ensure that amendments are made to the staff and client databases within agreed timescales.
  • Ensure stationery is appropriately stocked at all times.
  • Save documents on the network according to the firm’s procedures.
  • Ensure the VAT phone system is covered at all times.
  • Update client databases.
  • Respect and maintain the confidentiality of the processed material and ensure that any regulations concerning security or confidentiality (such as safeguarding passwords) are complied with.
  • Take an interest in the operation of the VAT Team so that you are aware of current work being dealt with by Team Members.
  • Take responsibility for developing your skills and abilities.
  • Issue invoices, where required. 
Marketing Support (10%)
  • Liaise with Marketing department and generally assist in the planning and execution of events.
  • Assist in the planning, organisation and execution of the Firm’s corporate entertaining, events, seminars and conferences, including producing delegate name badges, mailings, handout preparation, RSVP collation, feedback and post-event analysis.
Skills and Experience 
  • Eye for detail
  • Excellent interpersonal communication skills in order to interact professionally with internal and external clients
  • Able to prioritise workload and be self-sufficient; a multi-tasker
