Paralegal Team Secretary

Function:                                                                    

Legal

Overview of role:

  • Reporting to the Legal Counsel, the Paralegal Team Secretary will be the first point of contact for all contract related work. This is a dual role, which is both Paralegal and secretarial.  

Main Duties:

  • Assisting the Legal Counsel in the day-to-day running of the immediate team
  • Assisting with commercial contracts  
  • Drawing up and editing standard documents (e.g. deeds, tenancy agreements, licences etc.)
  • Oversight of preparation, signing, and delivery of important and commercially sensitive contracts
  • Preparation of legal reports
  • Handling queries from various external bodies: tenants, lawyers, agencies
  • Liaising with law firms and estate agencies
  • Assisting lawyers in preparation of documentation 
  • Research, gathering and summarising relevant legal information                                                                                          
  • Dealing with telephone and email enquiries
  • Diary management – arranging appointments 
  • Booking rooms and conference facilities
  • Scheduling and attending meetings
  • Creating and maintaining filing systems; organising and storing of paperwork, documents and computer based information 
  • Photocopying and printing of various documents
  • Updating and maintaining management systems
  • Work closely with the other Team Secretaries and the Executive PA         
  • Liaising with staff internal staff and external contacts
  • Other ad-hoc tasks set by management 

                                                                              

Essential skills, attributes & qualifications  

 

  • Law degree or equivalent legal qualification   
  • Proficient in the use of Microsoft packages such as Outlook, Word, Excel 
  • Ability to multitask 
  • Team player
  • Stakeholder management 
  • Strong organisational skills 
  • Ability to keep things confidential 
  • Personal integrity 

 

Desirable 

  • Previous experience of working for a property development company  
  • Previous experience of working for a HK company or other multinational experience
