Are you a superstar Personal Assistant looking for a foot in the door at one of London's TOP design agencies?

Our client who work within the packaging, corporate and retail space require an PA to support the CEO and Creative Partner. You will provide proactive, efficient administrative support in a fast-paced creative environment!

Working closely with the HR Manager within the Support Team, your responsibilities include, but are not limited to:

PA to CEO and Creative Partner

  • Answering and screening all phone calls
  • Provide comprehensive diary management aligned with the CEO and Creative Partner using initiative to anticipate and resolve conflicts
  • Aiming to anticipate needs
  • Organise meetings (face to face, audio and video conferences) and ensure appropriate meeting room preparations, including catering
  • Coordinate travel / hotel arrangements for the business and preparing itineraries
  • Booking cabs/couriers
  • Processing expenses
  • Complete and process weekly timesheets
  • Perform any ad hoc tasks or duties as required
  • Always aiming to act in the best in interest of the CEO and Creative Partner

Office Support

  • Completing the daily morning routine to ensure smooth running of the office
  • Answering and screening any specific phone calls via reception
  • Liaising with Building Services and IT to ensure the office functions efficiently
  • Cost-effectively managing and maintaining stationery stock levels
  • Receiving & distributing daily mail & deliveries
  • Work with Finance to review and ensure correct documentation for invoices and company credit card
  • Acting as the point of contact for supplier Account Managers, including our travel agent, cab company, stationery companies and conference call service provider
  • Support the HR Manager with New Starter set-ups

 

 

Requirements:

  • Proven working experience in a similar role
  • Proficient user of Microsoft Office Suite
  • Calm and approachable
  • Appreciates the necessity for discretion and confidentiality
  • Solid communication skills; both written and verbal
  • Can-do attitude always with ability to be resourceful and proactive
