This is a really unique role at this incredibly creative Advertising Agency working across two of their biggest and most far-reaching Accounts.  Working with a really collaborative team, this is a very busy role that would be ideal for an organised Administrator who wants to expand into Account Coordination/Account Executive work.  Duties will include:

  • PA support including extensive diary management, scheduling meetings across multiple time-zones
  • Schedule meetings and appointments both internally & externally whilst effectively prioritising requests.
  • Book meeting rooms for internal and client meetings / calls when required; usually with little notice. External/offsite meeting rooms may occasionally need booking.  
  • Respond efficiently to last minute meeting requests & changes in their schedule both in the office & while travelling globally.
  • Scheduling all travel for the Directors & team – booking flights, accommodation, airport transfers, restaurants, meeting rooms and entertainment as and when necessary.
  • Making all arrangements for Visas and travel documents
  • Providing full secretarial support: which includes but not limited to: dealing with incoming emails, telephone calls.
  • Complete all expense claims for the Directors promptly and accurately after every business trip in multiple currencies.
  • Arranging couriers as and when necessary.
  • Preparing PowerPoint presentations and documents for meetings as and when necessary.
  • Working across two accounts to ensure everything is up to date and well-prepared
  • Build and maintain client relationships
  • Provide market intelligence to Account Managers/Directors
  • Maintain and enhance product knowledge to ensure you are at the forefront with any Product developments
  • Ad hoc Project and Presentation support as and when required
