A boutique Investment bank (130 people in London)  based in the City is looking for an EA to support the COO , Head of Investment and Head of Equities.  This is a 1:3 support EA role at board level.  Looking for someone versatile , confident, seasoned C-suite EA from a financial services background. Must be mature with the gravitas to work with stakeholders and direct reports.

There are 3 very different personalities so looking for someone accomplished and able to evidence patience and with the  ability to push back. You will be working along side the EA to CEO.

Executive Assistant duties:

  • Extensive and complex diary management - scheduling meetings and establishing priorities to ensure smooth and efficient running of daily schedules
  • Organising multi-party meetings and conference calls, across various time zones, handling schedule conflicts and last-minute changes
  • Coordinating video-conferences/telepresence meetings
  • Regularly interacting with senior colleagues, external firms, Principals
  • Handling sensitive and confidential material
  • Meeting preparation e.g. presentations and spread sheets
  • Professionally handling calls and ensuring full phone coverage
  • Extensive and complex global travel arrangements
  • Preparing detailed itineraries
  • Processing expenses and invoices and managing internal processes
  • Performing a number of daily administrative functions: scanning, printing, submitting technology/facilities requests
  • Personal work 
  • Collation of board packs/papers

Essential requirements:

  • Proven senior-level EA/PA experience ideally gained possibly within Financial Services, 
  • Ability to maintain complete accuracy and confidentiality
  • Excellent knowledge of MS Office
  • Proactive approach, being one step ahead at all times
  • Capable to work efficiently in a fast-paced environment
  • Excellent written and oral communication skills
  • Strong planning/organisational and interpersonal skills
  • Outstanding attention to detail
  • Mature, calm, diplomatic, and professional approach at all time and at all levels
  • Well presented, positive attitude – true ambassador
  • Flexible approach to work and out of hours working patterns
