One of the leading architecture firms in the UK is looking for a Team Coordinator to join their team on a permanent basis. The successful candidate will be providing support to Project Leaders and their wider teams with running efficient and well-organised projects. You will be motivated and proactive with the ability to coordinate numerous tasks simultaneously.

Responsibilities:

  • Managing multiple diaries and inboxes, responding when necessary to emails
  • Acting as the point of contact for internal and external design teams including taking and tracking messages to ensure action
  • Arranging meetings, booking venues, refreshments and relevant equipment
  • Assisting with practice management duties
  • Creating and formatting project-related correspondence or practice development
  • Keeping document management systems updated with project information
  • Assisting with project specific design reports using InDesign
  • Assisting project teams with ad hoc project administration tasks including schedules, programmes, room data sheets, and archiving
  • Sourcing information on existing projects for bids, reports, presentations
  • Preparing and assembling documents for meetings and presentations
  • Supporting the project leaders with team resourcing by managing holiday/absence spreadsheet
  • Arranging and booking travel and insurance for domestic and overseas trips
  • Preparing project leaders' monthly expenses
  • Raising purchase order requests in-line with company financial processes
  • Assisting project teams with training, troubleshooting and following up issues to ensure resolution
  • Arranging building tours including organising access, itineraries, travel
  • Acting as principal back-up to the Director's Personal Assistant, covering planned and unplanned absences

Preferred Skills and Experience:

  • A minimum of two years' experience within a Personal Assistant or Team Assistant role
  • Experience using Microsoft Office systems
  • Excellent communication skills both verbal and written
  • Knowledge of Adobe InDesign and Photoshop
