Our client is looking for a Senior Executive Assistant to support our Executive Chairman in a one-on-one working relationship. You will provide first class administrative assistance by identifying, anticipating and addressing the needs of the Executive Chairman.

Your main duties will primarily include scheduling meetings, making travel arrangements, and managing short and long term calendar plans, but also preparing documents and presentations, and providing data driven recommendations to the Executive on various subjects.

To be successful in this role, you should be proactive, flexible, meet deadlines, communicate effectively and be able to work with very limited supervision. The ideal candidate has extensive experience as an Executive Assistant, and is able to build strong relationships with business stakeholders to support their Executive.

Responsibilities

  • Extensive diary, meeting management, travel management, making judgement call on prioritisation of appointments
  • Organise and manage complex travel itineraries with multiple destinations and on short notice.
  • Manage phone calls, emails and other correspondence on behalf of the Executive
  • Draft emails, letters, documents and presentations on behalf of and for the Executive
  • Accompany the Executive on business meetings so as to help with agenda, preparing meeting briefings, presentations, etc.
  • Build strong relationship with Executive and Senior Management teams, and support staff facilitating internal communication and project coordination
  • Make recommendations on more efficient ways to run executive projects (meetings, reports, presentations, etc.)
  • Establish a reliable network of suppliers for frequent requests (catering, travel concierge services, charters, etc.)
  • Work flexibly on a wide range of tasks which may involve private requests (personal travel, expenses, restaurant booking, etc.)
  • Provide historical reference by developing and utilising filing and retrieval systems (logs, contact details, meeting notes, etc.)
  • Professionally handle highly sensitive and confidential information.

Requirements

  • Proven extensive work experience as Executive Assistant or Personal Assistant to HNWI
  • Solid experience with comms facilities (for conference calls, video conferencing, etc.), MS Office, online calendars and cloud systems
  • Strong communication skills (via phone, email and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organisational skills with an ability to think proactively and prioritise work
  • Gravitas and excellent people skills and the proven acumen to handle complex situations and multiple responsibilities
  • Proven capability to operate in a pressurised environment, requiring discretion, tact, diplomacy and judgement when dealing with internal and external contacts
  • Experience working in a start-up environment desirable
