Team Administrator/ Assistant for City Investment Management Firm £35,000
My client now have a brand new role working in the Client Assets team for a Team Administrator. This is an excellent opportunity for a highly organised, experienced Administrator to join the team and truly make their mark on the role.
Responsibilities
To support the activities of the Risk & Compliance team and champion the embedding of a compliance awareness culture throughout the business.
The CF10a and its office have numerous governance responsibilities. This individual will be responsible for assisting and supporting the CF10a and the CF10a’s direct reports to ensure that these papers and arrangements are adequately performed and presented as necessary; Coordinate the end to end process.
Agenda:
Assist the CF10a to draft, confirm and circulate a final agenda to all members and standing attendees pre each reporting cycle; 5 working days before each meeting
Actions:
These to be effectively managed and reported whilst supporting the CF10a with the completion of the actions.
Liaising with stakeholders to ensure all actions are completed in a timely fashion, to meet instructed deadline(s) and raise any delays to the CF10a as necessary in a timely manner
Support materials:
All support materials to be collated, prepared and presented to the CF10a (for final review)
Minutes to be taken at each meeting; then prepared, and presented to the CF10a (for final review)
Meeting timetable:
Coordinate each meeting, to ensure each meeting is quorate; where there is a conflict, apply appropriate time management (in advance) to source an alternative convenient date and time for any rescheduled meeting to take place
Assist the CF10a with the preparation of PowerPoint presentation material i.e. regulatory presentations (be it for internal or external use), Information requests, ad hoc reporting etc.
EA Responsibilities
- Diary Management for the CF10a.
- Ensure weekly 121’s is scheduled between the CF10a and directs; for planning purposes, prime admin support (this role) must meet with the CF10a on a weekly basis to discuss, plan, review all current and future work requirements
- Booking of travel (taxi, train and air travel) and hotel accommodation requirements and the processing expenses (monthly) for the CF10a and directs
- Provide adhoc administrative and secretarial support to the Chief Risk Officer’s (CRO’s) senior management team (as necessary and as time allows)
- Coordinate team social activities as requested to do so by the CF10a
- Adhoc administrative support to the CF10a Oversight team (as time allows)
Qualifications
- 2-3 years of working in an office environment preferably with financial services experience (though not essential)
- Degree Level or equivalent desirable
Skills
- Ability to work as part of a tight knit team and be able to respect the confidentiality of the work that the team does
- Excellent attention to detail
- Exceptional organisational skills and able to work independently and manage your own work load to meet deadlines
- Excellent team player
- Excellent communication and interpersonal skills with a good positive, friendly approach with the confidence to deal with people at all levels
Flexibility is key
- Competent at preparing written material, compiling reports.
- Good numerical skills
- Excellent MS Word, MS Excel and PowerPoint skills
- Strong analytical and problem-solving skills
- Ability to develop and maintain effective working relationships
- Good business and commercial awareness
- Initiative and self-confidence
Experience
- Preferably worked within a Risk / Control / Regulatory or Compliance Function
- Exposure to Governance arrangements (desirable)
- (PA / EA), project coordination experience within Financial Services
