Role description

We are looking for a Personal assistant/Office Manager to join our London office. You will be working to support the CEO and other senior management of the company by undertaking a high-level private, business administrative and secretarial role. You will also be responsible for managing the office and supporting the CEO with certain domestic affairs to ensure daily schedules run to plan and are seamless. Our ideal candidate will ideally have extensive previous experience in Executive/private PA roles with absolute discretion. Apart from this, candidates must have good IT skills, excellent organisational skills, alongside careful attention to detail, you must also be strong, confident with negotiating and persuasive skills. Beyond this, we are looking for someone who is flexible, enthusiastic and can use own initiative and creativity to develop the business.

Key tasks

  • Design and manage contacts database’s
  • Personal Computing would include maintaining PC's, iPads, Mobile Phones so that they run efficiently
  • Deal with mail, organise, prioritise and file efficiently.
  • Maintain an accurate log of all expenses ensuring all filing receipts onto a recognised accounting system.
  • Responsible for the extensive planning of daily, weekly and monthly scheduling of appointments ensuring that all appointments are scheduled with adequate timing.
  • Manage the office to include day to day corporate organisation of paper and electronic files.
  • Keep logs of all UK & US travel, and expenditure on all Business and Personal credit cards of the CEO.
  • Arrange vehicle services/MOT /Tax of the CEO.
  • Organise household bills and expenses and ensure efficient management and use of utilities for the CEO.
  • Arrange all domestic and international business travel for the company, including flights, hotels, visa’s and logistics arrangements
