Job Description

Our client is looking for a talented Executive Assistant to provide comprehensive administrative support to two VPs. We are looking for someone to handle complex and detailed executive calendars across multiple time zones, arranging meetings and appointments, and arranging multifaceted domestic and international travel itineraries.

We are looking for someone who has a dedicated attitude, is customer focused, and able to handle multiple tasks with demanding work load. We appreciate candidates who will be able to use their initiative and work collaboratively to achieve results.

Overview Of The Role

  • Serves as the first point of contact for escalated issues that filter in to the VP office
  • Supports the executive with expense reports, email and calendar management, as well as process invoices; you will assist with tracking spend and budget management, organization chart upkeep
  • Provide and/or create reports and presentations through in-depth data gathering and process management as well as other special projects as requested
  • Arrange simple and complex on and offsite group events and meetings, including planning, budgeting, and logistics; and may take minutes in meetings.
  • Create advanced correspondence including complex and sensitive emails, letters, memos and reports, as well as draft key communication pieces for executives.

Job Requirements

  • Will come with extensive administrative experience within a global organisation.
  • Have direct experience in supporting multiple senior level executives in a dynamic, results oriented environment.
  • Due to the level of confidentiality in this role, we require you to have the highest level of ethics, good judgement and common sense.
  • Will communicate effectively with high level contacts both inside and/or outside the company.
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint, Access, and especially Outlook), strong editing/proofreading skills are needed for you to be successful.
  • A high level of integrity, strong attention to detail and ability to multitask are also required.
  • Thrive in challenging situations but at the same time can maintain a positive, pro-active attitude.
