An opportunity to join a fast-growing trade association as PA to the Executive Leadership team. Supporting the newly appointed COO and President you will be an exceptional organiser with the ability to coordinate multiple internal and external people and projects,
A dedicated, hard-working approach is essential, as well as the ability to deal with all types of people (from board members of national retail and publishing companies to local suppliers and contractors). You will have patience, a great sense of humour and the ability to adapt to rapidly changing plans.
You would be managing different working styles so we are also looking for the ability to deal with modern electronic calendars as well as traditional paper diaries!
As no two days will be the same, this is certainly a varied position but regular tasks will include:
Provide administrative support to the Executive members of the office: complex diary management across multiple time zones at a senior level – taking decisions where appropriate
Effectively organise the logistics of monthly and quarterly committees / working groups / team meetings, preparing the agendas and participating, note-taking in the meetings as required;
Producing and proof-reading high-quality correspondence, documents, agendas and PowerPoint presentations for meetings when required
Planning and management national travel arrangements and itineraries, within busy calendars and with an awareness of Executive and stakeholder priorities
Monitoring leadership team emails where required, taking action and responding as appropriate
Screening and dealing with calls and correspondence proactively, responsibly and professionally with an awareness of COO and Exec team priorities
Developing strong relationships quickly with Members/stakeholders, new team members and shareholders.
Ad-hoc administration work, depending on Leadership team needs
Organise electronic files and ensure they are maintained in an orderly, secure fashion;
Events management: sourcing of venues and suppliers for annual national conference, managing invite lists, speakers, accommodation delegate packs, event feedback.
Managing the delegation of administrative duties to the Receptionist/Assistant PA
This is a great role with an attractive working environment with great colleagues (around 20 full time staff with lots of visiting regional managers) in the heart of bustling Clerkenwell. You will ideally have experience in a similar small to medium sized head office environment and love to be the organisational 'hub' of your office.
