Due to an internal promotion an opportunity had arisen for an Office Assistant to join the corporate head office to a global retailer based in the West End. This is a varied role which will suit someone who enjoys going the extra mile to help others in a professional manner and has great attention. Duties will include:

  • To ensure smooth day to day running of the office, and be responsible for office administration – controlling all invoicing logs.
  • Produce and maintain Contracts Manual to allow visibility of expiring contracts to include building maintenance and catering contractors.
  • Oversee minor contracts and ensure they are renewed on time. Make suggestions for improvement and be aware of other options.
  • Manage lunch ordering with catering staff and ensure the catering calendar is kept updated. Ensure lunches are provided on time and make alternative arrangements if required. .
  • Process 3rd party supplier invoices maintain internal logs and liaise with  the Accounts department on all invoice and bill management issues.
  • Keep budget log updated to be reviewed on a quarterly basis.
  • Support Office Manager with ad hoc events such as AGM lunch and the Christmas Party.
  • Provide cover for receptionist as required.
  • Provide over flow PA cover as and when required

The person

  • Administration experience.
  • Good level of expertise using Microsoft Office software.
  • High level of attention to detail.
