An exciting new opportunity has arisen for an Executive Assistant to join a private investment office who are launching their office in Mayfair. The Executive Assistant role will be crucial in the set up of this new and dynamic venture and will be an important part of the establishment of the office, its ongoing growth and development and the support of key senior executives.

  • Reporting directly to the MD, the EA will provide executive, administrative, and development support to the MD. 
  • Where relevant they will also provide support to the Board and the senior management team and will act as liaison between these parties and the MD.  
  • The EA has a crucial role as the primary point of contact for internal and external parties on all matters relating to the management and oversight of the office and to the MD. 
  • This person therefore has an important quasi-ambassadorial role as the ‘face’ of the business and should have a polished, professional self-reliant, calm and flexible working manner with excellent communication and interpersonal skills.
  • The EA will have a dual role as Office Manager and will ensure the smooth running of the office on a day-to-day basis.

Alongside typical Executive Assistant administrative duties directly relevant to the MD this position will:​

  • Communicate with the wider team on the MD’s behalf and co-ordinate logistics and the relevant agendas for internal and external meetings, including the quarterly Board and the monthly Investment Committee meetings.
  • Ensure best practice in all areas of the group’s support team in terms of data and record management, health and safety, all administrative functions and communications.
  • Support the MD in external commitments; anticipating the needs  and deadlines on a short- and medium-term basis.
  • Organise induction programmes for new employees.
  • Assist the organisation's HR function by keeping personnel records up to date and arranging interviews where relevant. 
  • Liaise with suppliers, implement office procedures, maintain the  office databases using a wide range of software packages, screen & direct phone calls and maintain the office budget.

Candidate Profile

The successful candidate must be trustworthy, reliable and of high integrity.  ‘Going the extra mile’ will define their approach to this role.    

Previous experience in a similar  EA role, ideally within the Financial Services and/or Asset Management sector, with specific experience working with C-Suite and reporting to an MD/CEO. Experience with a Family Office would be consummate.

They will demonstrate excellent initiative, a ‘can-do’ attitude and will always be prepared ‘to roll up their sleeves and get their hands dirty’.  Their approach to their work will be thorough and methodical; the candidate will be a proven problem solver and an excellent manager of their time.  They will demonstrate sound and clear judgement and be professional in their standards of conduct and communication.   

They will be personable, credible, process-orientated and diligent and their style of execution will command a strong level of buy-in from the executive and non-executive team. They will have charisma and gravitas without ego and have an ability to build strong working relationships with all levels of people.
