Owen Reed are recruiting for a Personal Assistant/Managing Assistant to join a firm in Covent Garden.
The Personal Assistant will report to Consulting Managers and Team Leader. The Personal Assistant will provide high-quality support to the Manager and Principal group and their case teams; to fully
understand their personal needs and priorities and those of their clients; and to leverage and
manage their time accordingly.
Duties of the Personal Assistant:
Manager assistance (diary and travel management)
Case team co-ordination; internal and external
Successfully manage busy and ever evolving diaries, proactively managing when schedules
change. Re-scheduling complex meeting and travel itineraries often at short notice.
Extensive internal and external meeting scheduling; building and maintaining strong working relationships with key client contacts.
Working with our travel company to co-ordinate sophisticated travel itineraries and administering the timely procurement of visas and other travel documentation. Proactively preempting
travel plans.
Proactively assist managers in relationship building efforts by knowing who their priority contacts and companies are and setting up regular check-ins to create and maintain a relationship management plan for these priorities
Serve as CRM champion, educating managers on best practices, assisting newer MAs and providing feedback to Local CRM Administrator
Processing time and expense submissions. Managing complex expenses; running bank statement reconciliation and processing foreign currency receipts in an accurate and timely manner.
Assisting Managers/Principals with their non-consulting internal assignments, leveraging their time to manage this accordingly.
Extensive liaison within the consultant teams, with fellow MAs, EAs and all other departments.
All case team administration, including travel logistics, contact management and meeting scheduling, both internally and externally.
Attendance and participation at case team ‘kick-off’ meetings, and other case team meetings.
Assist the case team with travel bookings.
Organising case team events, sourcing venues and activities.
