Are you a polished Receptionist who understands the importance of always delivering a high-class service? Do you have excellent interpersonal skills as well as a keen eye for detail when dealing with important administrative tasks?

 One of Harley Street’s most high-profile clinics are seeking a reliable and well-presented Receptionist and Administrator to support their small, friendly team on their Front of House desk, as well as dealing with administration in their office space. Please note, this role operates on a shift pattern basis, so you will be required to work 1 – 2 late shifts per week (11am – 8pm), as well as 1 – 2 Saturdays each month (9am – 3pm).

Your duties:

Reception

  • Meeting and greeting clients, ensuring all are signed in/out
  • Answering phone enquiries and bookings
  • Patient confirmation calls and follow ups
  • Ensuring the Reception and waiting room are kept up high standards of appearance

Administration

  • Email inbox management
  • Complete day’s envelope and daily banking ledger
  • Sending and retrieving dictation via computer programme
  • Drafting and mailing general correspondence and patient letters
  • Ensure patients charts are filled by end of each day
  • Complete daily cash flow, run banking reports and balance takings
  • Entering new patients details and updating patient files electronically, preparing charts
  • General admin – filing, photocopying, restocking, ordering stationary

The clinic receives clients that come from all over the world and some even from famous backgrounds, so it is imperative that you are very polished, articulate and committed to delivering the highest standards of service to their sophisticated clientele. You will be rotating between the Reception desk and administration duties in their office, so you must be prepared to juggle multiple tasks and be a true team player who can recognise where your assistance is most needed during busier times. It is paramount that all clients are treated with courtesy and consideration at all times, ensuring confidentiality is respected at all times. Previous experience within a clinical setting is ideal, but by no means essential.
