A leading not-for-profit membership organisation within the education sector is looking for an Events Coordinator to join their team on a permanent basis. The successful candidate will be providing effective administration support to the Events team, maintaining and developing appropriate systems and processes to support the effective delivery of events. You will be friendly and helpful with excellent organisational and administrative skills.

Responsibilities:

  • Delegating management for all events, including delegating registration enquiries via telephone, email and written correspondence
  • Ensuring internal and external communications with delegates, team members and event partners are timely, relevant and of a high quality, through telephone and both personal and team email accounts
  • Pre- and post-sales administration for the sponsorship and exhibition team, including but not limited to creation of sales websites on Eventsforce, sponsor website updates, assisting exhibitor registrations, liaising with exhibitors and sponsors for their requirements including marketing and delegate pack material
  • Ensuring the team office runs smoothly including accurate filing and archiving, maintaining stationery and other supplies, distribution of post, reconciliation of expense claims, credit card log and approval of team invoices
  • Organising team meetings as required, assembling any necessary paperwork and minute taking and providing administrative and diary management support to the Head of Events and Sponsorship as required
  • Collating event packs and materials, arrange transportation of event equipment, proofread event materials and provide administrative support across all events including the Annual Conference
  • Creating and maintaining the registration websites (using Eventsforce software) including individual event databases, providing assistance with reports as required by the events team
  • Preparing event marketing emails using online software and events-related briefings and documents across all websites; create evaluation surveys extracting data for reporting purposes
  • Supplier sourcing, negotiating and liaising including, but not limited to, print, design, courier, venue and catering suppliers
  • Using of CRM database (Salesforce), in particular for data manipulation and the creation of lists for marketing
  • Coordinating marketing activities within events team to provide administrative support for use of CRM, website and email systems and social media
  • Occasional event management of small events and workshops as required by the Head of Events and Sponsorship
  • Event delivery and onsite assistance where required, which may require travel with UK and overnight stays

Preferred Skills and Experience:

  • A minimum requirement of qualifications at GCSE level or equivalent
  • Experience working in a customer - focused office environment
  • Respect for equality and diversity and works to actively promote an inclusive work environment and good working relationships among colleagues
  • A personality which is calm, well presented and maintains productivity under pressure
  • A diplomatic approach to people particularly when dealing with conflicting priorities
  • Ability to be friendly, helpful and authoritative on the telephone and face to face
  • Excellent interpersonal skills, with the ability to communicate confidently across a team and external stakeholders
  • Good working knowledge of Microsoft Word, Outlook, Excel and Powerpoint
  • Experience of effectively managing own workload to meet deadlines and using initiative when required
  • Web administration and email marketing software experience
  • Strong written and verbal communication skills
  • Strong customer service skills
