We have partnered with one of the world’s leading tech firms to find their Principal a world-class Executive Assistant. A true right-hand supporting an extremely busy principal with an ever-changing schedule and constant international travel you will pre-empt his needs before he does to ensure his life runs smoothly at all times.

Based in either the London or Munich office, and joining a family-like close-knit team, you will be the go-to for everything and manage all of the principal’s business mattes with perfection. You will be responsible for managing his ever-changing and hectic diary (10-15 meetings per day) as well as extensive international travel, managing all correspondence, research and presentations, and inbox management.

You are organised, positive, proactive and have a can-do attitude – no hurdle will be too big for you to overcome, and you will make the impossible a reality. Professional and resilient, you will be unflappable in stressful situations and ensure problems are overcome efficiently and effectively. Attention to detail is key, as well as a passion for your work and an ability to build excellent working relationships with you principal and team.

Perks include breakfast, lunch and dinner every day, mobile phone and laptop, pension and healthcare, as well as frequent travel overseas and much more. Usual office hours are roughly 8am-6pm Monday to Friday although flexibility is required.

Responsibilities

  • Provide administrative support, including working with highly confidential information.
  • Complex travel arrangements (domestic and international), including personal travel.
  • Manage an ever-changing and extremely busy calendar and prioritise commitments to maximise time and productivity.
  • Compose and prepare correspondence; sort and organise incoming emails.
  • General administration to include typing and minute taking.
  • Managing financial procedures, including processing of expenses.
  • Assist with arranging events, lunches, dinners, conferences and networking events.

Essential Criteria

  • Excellent proficiency in both German and English.
  • Previous PA/EA experience, preferably in a start-up or tech environment.
  • Excellent computer skills – both written and verbal.
  • Proficiency with Microsoft products (Excel, Word, PowerPoint, etc.).
  • Experience with scheduling complex international and domestic travel itineraries.
  • Proactive with the ability to think on your feet; you anticipate needs and execute autonomously.
  • Ability to multi-task and prioritise, with a high sense of urgency.
  • Extreme attention to detail.
  • High level of professionalism, confidentiality, and discretion.
  • Flexibility - able to work to varied schedule based on the needs of the principals.
  • 24/7 on call due to time zone variability
  • Flexibility to travel up to 25% of the time to other domestic and international offices.
  • Ideally familiarity with travel booking and expense reporting via Concur.
