SALARY WILL BE PRO RATA'D FOR A TEMPORARY ASSIGNMENT INITIALLY

The corporate headquarters of this innovative global energy company need to fill a dual focused role with executive support to three management level roles and office management as an equal split.  IMMEDIATE AVAILABILITY is essential as this will initially be filled on a temporary basis while the permanent search commences. 

 The PA part… 

  • Manage travel arrangements including hotels, restaurants, taxis & visa arrangements as required;
  • Calendar management and meeting planning; responsible for arranging meetings, preparing/consolidating agendas and meeting materials, booking meeting rooms & greeting visitors;
  • Administrative support – assist in preparation of presentations & reports, generating reports, maintaining documents, general correspondence, scanning &filling;
  • Manage specific projects as assigned;
  • As a member of the company support team, take a role along with other Assistants to plan and organise group-wide company dinners, internal events & board meetings, occasionally on an international basis;
  • Support with advice and processing of visa applications for Finance, Project Finance, HR and IT teams as needed from time to time.

 The Office Management part… 

  • End-to-end management of all London office relationships.  Manage the supply vendors in an organised, streamlined and timely manner. This includes catering, printing and all other office suppliers.  Ensure the quality of performance and cost effectiveness of their results to approved levels;
  • Primary point of contact with the building management and responsible for various building contracts and cleaning contracts;
  • Together with Human Resources, ensure full compliance with all statutory and Company’s practices relating to the Office;
  • Manage the Facilities budget
