We're working alongside this award winning global leader in the hiring of an EA to support a VP and 2 of their team, all based in their fantastic central London offices.
This isn't an ordinary EA role - the diary management and travel booking being a given skillset we're looking for, candidates must also show proven additional project management experience born from a mind-set of being a true Executive Assistant - one who understands a Company's mission and wants to advance their skillset while ensuring the Company's success.
This role requires the ability to complete high volumes of tasks and projects quickly with little guidance, as well as react with appropriate urgency to situations and events that require a quick response or turnaround. This role will work with colleagues around the globe to arrange meetings, calls etc., and must be able to build great working relationships with other colleagues in offices around the world.
The successful candidate will have:
- At least 4 years' EA/ PA or similar experience in a fast-paced environment
- Exceptional organisational, planning and prioritisation skills as well as impeccable attention to detail
- Extensive experience in complex diary management and meeting prioritisation as well as large scale meeting coordination.
- Strong track record of being a team player within a large-scale fast-moving and process-driven environment
- Excellent computer skills including Outlook (Advanced), Excel (Advanced), Word (Advanced), PowerPoint (Advanced), Sharepoint (Advanced)
- Excellent communication (written and verbal) and interpersonal skills
- Ability to deal with a high level of ambiguity and a constantly changing diary
- Ability to motivate others, and influence work behaviours
- Flexible, with the ability to prioritise and handle multiple assignments at any given time while maintaining commitment to deadlines
- Drive key team activities (staff meeting agendas, all-hands meetings, quarterly onsites/offsites); track and help drive completion of key deliverables and follow up on outstanding items.
- Maintain organisational charts; partner with Finance, Recruiting and HR on headcount management.
- Organise, prioritise and handle time-sensitive, confidential information and ensure appropriate action is taken
