Administrator (Marketing  / Events) 

near Holborn Tube Station

 

Old Square Chambers is a specialist set of chambers specialising in a number of disciplines. We have an active marketing programme throughout the year and are seeking to recruit the right person to support this function.

The purpose of this role is to:

- Administer all of Chambers’ marketing events (London and some national) both internally and at external venues.

- To provide reception support and ensure a professional and efficient communications link between Chambers and those visiting or telephoning Chambers is held at all times.

- To maintain Chambers’ marketing database.

- To support the Marketing Manager, Head of Administration, and Senior Clerk as appropriate, in all marketing activities, including day to day administration of Chambers’ website and social media.

Marketing & Event Management:

  • Responsible for assisting in organising all promotional and marketing activities including nationwide seminars, conferences, receptions, exhibitions and networking events in conjunction with the Marketing Manager;
  • Maintain an up to date and accurate marketing database of contacts;
  • Assist with production of  marketing reports as required, including post event analysis;
  • Research of venues and ideas, including visits to venues where required;
  • Co-ordinate invitations and guest list management through marketing database;
  • Liaise with Members regarding the design and production of email and hard copy invitations together with liaising on the content of the event. Co-ordinating further printed material required for events, such as packs, brochures and name badges;
  • Act as the link between solicitors/conference organisers and Members who are speaking; ensuring members have all relevant information in good time;
  • Produce hand-outs and PowerPoint presentations for seminars and training events on a regular basis;
  • Research, organise and liaise with contractors and services, including catering, porterage, cleaning, audio visual, transportation, security and technology;
  • Meet and greet clients and guests at events;
  • Presence at events to oversee and ensure events run smoothly and as scoped in conjunction with the front of house team;
  • Undertake refreshments for internal events and provide support throughout;
  • Produce and maintain a marketing diary for distribution within chambers;
  • Ensure Solicitors Regulation Authority and Bar Standards Board Scheme requirements are met and accurately recorded;
  • Administer legal directory entries with the Marketing Manager; Chambers and Partners and Legal 500;
  • Website maintenance and administration, including content updates;
  • Manage social media updates and work to increase followers and links;
  • Ensure correct H&S and contingency procedures are adhered to during event execution;
  • Some elements of the role require manual handling in respect of furniture and equipment;

Reception Duties:

  • Provide physical reception cover for the receptionist during periods of absence, planned leave, lunch breaks and busy periods. This includes all duties that fall to the receptionist for day to day responsibilities.
  • Provide switchboard cover for the receptionist and in the clerks room as required.

General:

  • Carrying out any “ad hoc” duties or projects with or for members of Chambers/as directed by a senior member of staff.
  • Responsibility for the active pursuit of the principles of equal opportunities/diversity in all aspects of the role.

Person Specification:

  • Excellent telephone manner
  • A confident and professional approach with a committed attitude
  • Be able to work well under pressure, whilst remaining calm
  • Front of house experience, ideally within a legal environment or similar
  • Smartly presented
  • Excellent communication and interpersonal skills with people at all levels (both written and verbal)
  • Knowledge and experience of using Word, Powerpoint, Microsoft Outlook essential. Knowledge of Publisher and LEX advantageous
  • Awareness of social media administration and use in a commercial environment preferable
  • A pro-active and hard working team player who can take initiative when required whilst also being able to follow direction
  • Ability to research, organise and execute events, in particular seminars and receptions
  • Ability to contribute to and administer the design and production of invitations and other printed materials
  • Previous experience within chambers would be a significant benefit.
