Role Purpose
 
To provide secretarial and administrative support to the Greater London Land team on a daily basis to ensure that their needs and the clients’ needs are met at all times. From time to time they may be required to assist other members of the sector and wider department. The team ranges from an apprentice to Senior Directors.
 
Key Responsibilities
 

  • Working for 8 people across all levels in the Greater London Land team in the West End office
  • Extensive diary management for all team members, particularly the Senior Director who heads up the team
  • Organise meetings and conference calls
  • Manage the monthly fee forecasting
  • Review the billings report and manage reconciliation for the team on a monthly basis
  • Assume a prominent role in the preparation and execution of pitch documents/presentations
  • Ability to prepare PowerPoint presentations to a high standard including organograms and marketing material
  • Maintaining an online filing system for all current developments which adheres to CBRE standards of compliance (this includes preparation for external audits)
  • Using Peoplesoft (CBRE’s finance system/HR system) to raise invoices, register new projects and raise expense claims – training provided).
  • Carry out anti-money laundering checks for new clients with the help of the compliance team
  • Formatting/exporting reports using Word, Excel, PowerPoint, Adobe Professional, including merging of documents.
  • Binding of Presentations and other documents
  • Attending team meetings to take minutes when required
  • Occasionally booking / amending UK & international travel / hotels and travel itineraries
  • Help cover other teams when secretaries are out of the office or workload is heavy
  • Preparation and collation of reports
  • The organisation of both client entertaining and staff entertaining 
  • Ensuring a smooth running of day to day business
  • Screening calls and comprehensive message taking
  • Tech savvy and IT champion for the team

    Person Specification/Requirements
     
  • Excellent organisational skills and attention to detail
  • Good interpersonal skills with a professional and positive attitude
  • Ability to prioritise and manage both own time and SD’s
  • Ability to work autonomously and proactively
  • Confident and reliable self-starter
  • Good IT skills (Word, Excel, MS Outlook and Power Point). 
  • Minimum typing speed of 50 wpm
  • Experience with Salesforce desirable
  • Real Estate experience desirable
