One of the world's leading executive search firms are looking for a Team Assistant to join a team of 14. The role is to support on all administration duties within the team and to work closely with the team EA to ensure projects run to schedule.

You will thrive in a role which involves heavy problem solving in terms of high volume inbox management, diary appointments, clashes and over-running meetings and will enjoy a process -driven element in the form of logging interactions, meeting notes and billing information in the firm's CRM.
This role is a multifaceted position that requires the Team Assistant to balance being the key point of contact to external Stakeholders and manage the busy administration workload.

Working as part of a tightly knit team of 14, you will work alongside an EA to be there for the wider team when they may need you (meeting and greeting guests or odd expenses). You will enjoy working for ambitious people who pull together and work hard to achieve the firm's vision.

Duties to include:

• Assisting the team EA with all administrative duties
• Preparation of candidate materials ie reports, packs and presentations
• Audio & copy typing
• Scheduling appointments and meetings both internally and externally
• Assisting with the organisation of events
• Making international travel arrangements
• Assisting with client presentations
• Monitoring emails and responding promptly
• Answering phone calls and taking messages in a professional and helpful manner
• Quality control - ensuring all documents are appropriately saved & database is up-to-date
• Proof reading documents
• Compliance checks, invoicing, expenses, scanning and filing
• Stationary ordering

Skills and experience:

• Excellent communication skills with the ability to manage expectations
• Excellent time management skills
• Attention to detail is an essential skill alongside advanced proof reading skills
• Able to work autonomously
• A positive and proactive energy with the ability to use own initiative
• Proficient using MS Office suite, essential in Outlook, Word, PowerPoint and desirable in Excel.
