Executive Assistant to Global Heads - full-time or 4 days a week OR 4 days a week in the office and 1 from home…Agile working is upon us!
Salary up to £40,000 if working full-time.
A highly revered international Law firm are looking for an exceptional Executive Assistant to join their ranks.
This Executive Assistant will provide support to the key internal functions of Corporate Social Responsibility, Learning & Development, HR and Resourcing.
With the above in mind, this role will offer a great deal of variety with elements of business development, Powerpoint presentations, complex diary management and travel arranging whilst also providing seamless support to the 4 people. Don't worry though, given their roles, they're rarely all in the office at the same time…!
This role requires someone who has the ability to support individuals with extremely busy work schedules, using their own initiative where appropriate, in addition to prioritising their own working day. It is essential that the individual can deal professionally with Partners and Managers in the firm as well as external contacts, building strong relationships with the key people for whom they work and delivering high quality work quickly and accurately.
A legal background and ideally Senior level experience would be hugely beneficial for this role.
Based close to the Central line, District Line, Liverpool Street, Fenchurch Street AND London Bridge, transport is not an issue.
Key responsibilities:
-To form an effective team with the Heads of department to maximise their effectiveness and enable them to achieve their objectives.
-Establish a good understanding of the global business, the key individuals within the business and maintain relationships both internally and externally.
-Use this understanding as a means of prioritising work and building the necessary knowledge to exercise judgment in daily requirements and tasks.
-Be proactive in progressing beyond a task based PA role; be willing to take on responsibility and demonstrate ability in order to build trust.
-Ensure efficient and proactive diary management and co-ordination.
-Arrange and coordinate interviews and meetings and follow up where necessary.
-Monitor and maintain outlook emails and calendar.
-Prepare necessary paperwork for meeting and projects.
-Draft reports, minutes, presentations, emails and appropriate correspondence.
-Establish and maintain comprehensive paper and electronic filing systems especially in relation to the production of standard and bespoke documentation.
-Manage and process cash expenses.
-Make necessary travel arrangements, including international.
-Organise UK lateral partner on boarding and HR team joiners.
-Provide support and assistance in managing projects for the four Heads of as appropriate.
-Arrange regular team updates, knowledge sharing sessions and team socials.
